Adding a new subcontractor

IMPORTANT: Always check to be sure the subcontractor is not already in our system

Navigate to the person profile icon at the right of the main page

  1. Select the “+ New” option next to Subs/Vendors

  2. Fill in the Subcontractor details as follows

    1. Company name should be legal name

    2. Street Address

    3. Primary Contact

    4. City, State, Zip

    5. Phone numbers

    6. Select Division, what type of work they’ll do for us

    7. To add an email, click the empty box underneath Email (NOT THE CELL EMAIL), within the popup add the email address as well as a nickname for this email, the nickname can be their first name

    8. Make sure to select the Buildertrend activation “Invite Sub/Vendor”, this requires an accurate email for the Sub. The invitation will be sent once we click save

    9. Additional info - GL, WC certificates and W9 are required before we pay Subs for work. These can be added by clicking Choose File for each Certificate and adding the Expiration Date within the Expires box (you can select the calendar icon to select the date

    10. Make sure to click SAVE at the top of this window when you complete adding Sub information

NOTE:

It is vital that you collect the W9, General Liability policy and workers compensation policy BEFORE we pay the Subcontractor. 

The W9 information must be filled out into the Subcontractor's "Vendor information" section in Quickbooks Online. This is important so we can send out accurate 1099's at the end of the year.
